JOB BRIEF

The HR/Office Manager primary responsibilities include Human Resources Administration, Office Management and Executive Administration Support.

RESPONSIBILITIES:

HR Administration (60%)

  • Coordinate timely filing of necessary paperwork and act as a liaison for foreign employees applying for US citizenship, including, but not limited to –
    • H1B Petitions
    • Green Card Sponsorship
    • Request for Evidence Responses
    • E3 Petitions
    • VISA requests and stamping
  • Maintain the Human Resources Information System (HRIS) and personnel filings
    • Ensure all employee documents are accurately completed and tracked according to policy (I9 verification, confidentiality agreements, offer letters, compensation change requests, performance evaluations, etc.)
    • Ensure information in HRIS is updated and corrected on a timely basis
    • Maintain and track Employee Incentive Stock Options
    • Pull reports as requested by the CEO and/or CFO
  • Manage and maintain Company’s medical benefit programs
    • Lead annual renewal process
    • Process new enrollments
    • Process changes to existing employee policies
    • Process Short-Term and Long-Term disability claims ensuring requirements are being met
  • Manage new employee on-boarding process
    • Facilitate new colleague orientation
    • Pull background checks and ensure drug tests are completed within 10 days of hire date
    • Ensure equipment is set up and/or available on hire date (i.e. desk, desk phone, mobile phone, laptop, key fob, etc.)
    • Create new employee name tags, order business cards, obtain parking passes
  • Coordinate logistical needs for new hire arrival – travel, lodging, etc.
  • Serve as point of contact for all HR related inquires
  • Update CMC Employee Handbook when updates are provided/approved by CEO
  • Assist CFO with completing forms for various insurance needs, audits, etc.
  • Update contact list with new employee contact information
  • Work/project manage checklists for new hires, resignations, and terminations; including logistics of scheduling interviewee visits and meetings
  • Manage internal job postings and recruitment efforts (job fairs, on-line job postings, etc.)
  • Update CMC Wiki with documents, handbook, and other HR-related communications
  • Take verification of employment calls; record employee start/end dates
  • Update Department of Labor posters as required by law
  • Coordinate and execute team and quarterly Company events (venue, menu, awards, giveaways, games, etc.) 

Office Management (20%)

  • Manage contract administration (tracking down executed contracts, scanning, logging, filing)
  • Manage facility needs and requests and liaise and act as intermediary with building management
  • Manage logistics of visitors (update welcome sign, schedule meeting rooms and refreshments, provide parking instructions, oversee the smooth logistical handling of meetings in our offices)
  • Mange office supplies – essentially “own the logistics” of keeping the office running smoothly (coffee, refreshments, office supplies, printer cartridges, copier maintenance, supply returns, etc.)
  • Manage front door, allowing access and signing visitors in for meeting security requirements
  • Serve as point of contact for facility and related vendors (e.g. cleaning service) as needed
  • Coordinate all details of mailing/shipments (collect and distribute mail/packages, trips to post office, FedEx/UPS/DHL, coordinate pickups, maintaining supplies, etc.) 

Executive Administrative Assistant (20%)

  • Provide administrative support to CEO and Executive team as requested
  • Assist CEO with calendar management
  • Manage corporate travel arrangements, itinerary and company credit card
  • Process expense reports for CEO (as requested) and corporate Amex card ensuring Finance timeframes are met
  • Prepare quarterly board meeting materials and coordinate logistics for board members as requested

EXPERIENCE:

  • Bachelor’s degree in a business discipline preferred
  • 2-3 years’ experience supporting Leadership
  • Expert in leveraging all Microsoft Office Applications and other technical applications
  • Strong organization and attention to detail
  • Strong professional written and oral communication skills
  • Strong interpersonal skills
  • Effective time management
  • Ability to handle several incoming requests at once and maintain a professional and courteous manner with staff and visitors
